Acceptance and scope

These terms explain the rules for using HRIS Central as an HR and workforce operations platform.

These Terms of Service govern access to and use of HRIS Central, including its employee records, attendance, payroll, recruitment, scheduling, filing, and reporting features.

By creating an account, receiving an invitation, or using the service on behalf of an organization, you agree to these terms and confirm that you are authorized to act for yourself or that organization.

If your organization has a separate signed agreement with HRIS Central, that signed agreement controls where it conflicts with these public terms.

Eligibility and account responsibilities

Accounts must be accurate, role-appropriate, and protected with reasonable care.

You must provide truthful registration details and keep your profile information reasonably up to date so the service can route approvals, notifications, payroll context, and audit records correctly.

Each user is responsible for maintaining the confidentiality of their credentials and for activity performed through their account unless the activity results from a verified security failure outside their control.

  • Use only the role and access level assigned to you by your organization.
  • Do not share passwords, one-time codes, or session access with another person.
  • Tell your administrator promptly if you believe your account has been misused or compromised.
  • Do not register using another person's identity or an email address you are not authorized to use.

Customer, applicant, and workforce data

HRIS Central helps organizations manage sensitive workforce information, so data handling responsibilities are shared clearly.

Your organization is responsible for collecting, uploading, and maintaining employee, applicant, contractor, attendance, payroll, and policy data lawfully. That includes giving required notices, defining access rights, and deciding what records belong in the platform.

HRIS Central provides the service infrastructure and administrative controls, but your organization remains responsible for the content it places into the system and for decisions made using that data.

  • Upload only information that is relevant to legitimate HR, payroll, compliance, scheduling, or recruiting operations.
  • Avoid storing data that is prohibited by your laws, contracts, or internal policies unless you have a documented reason and lawful basis to do so.
  • Review access roles regularly so managers, HR, payroll, and employees only see the records they should see.

Acceptable use and security boundaries

You may use the service for legitimate workplace operations, not for abuse, bypassing controls, or harming other users.

You may not use HRIS Central in a way that interferes with the platform, weakens security, violates law, or compromises the privacy and trust of other users.

  • Do not attempt to bypass authentication, role checks, audit controls, or rate limits.
  • Do not upload malware, abusive content, or misleading documents into the service.
  • Do not scrape, reverse engineer, or copy the service except to the extent applicable law permits despite this restriction.
  • Do not use the platform to harass, retaliate against, or unlawfully profile employees or applicants.

Availability, maintenance, and service updates

The platform will evolve over time, and operational changes may be necessary to keep it secure and useful.

HRIS Central may add, remove, or improve features, workflows, and interfaces from time to time. We may also apply maintenance, patches, infrastructure upgrades, and emergency changes needed for security or reliability.

While we aim for dependable service, uninterrupted availability is not guaranteed. Planned maintenance, third-party outages, connectivity issues, and force majeure events can affect access.

Your organization should keep its own retention, export, and business continuity procedures for critical HR and payroll records.

Intellectual property and feedback

The platform belongs to HRIS Central, while your organization keeps ownership of its own data.

HRIS Central and its underlying software, design system, workflows, documentation, and branding remain the property of HRIS Central or its licensors. These terms give you a limited right to use the service, not ownership of the product itself.

Your organization retains ownership of its uploaded business records and workforce data. If you share product feedback, suggestions, or improvement requests, HRIS Central may use that feedback without restriction or separate compensation.

Suspension and termination

Access may be limited or removed when needed to protect the organization, the platform, or other users.

HRIS Central or your organization may suspend, restrict, or terminate access when reasonably necessary for security, suspected fraud, policy violations, legal compliance, or organizational offboarding.

Termination does not automatically erase records that must be retained for audit, payroll, compliance, dispute handling, or documented retention obligations.

  • Your organization may deactivate accounts when employment, contract access, or recruiter access ends.
  • We may preserve logs and evidence needed to investigate misuse or comply with legal obligations.

Disclaimers, liability limits, and disputes

Like most business software terms, these terms set practical limits around platform risk and operational responsibility.

To the fullest extent permitted by law, HRIS Central provides the service on an as-is and as-available basis. We do not guarantee that every workflow will be uninterrupted, error-free, or suitable for every internal policy without organization-specific configuration.

To the fullest extent permitted by law, HRIS Central is not liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, reputation, or business interruption resulting from use of the service.

Your organization is responsible for reviewing outputs before making employment, compensation, disciplinary, or legal decisions. The service supports those workflows; it does not replace independent judgment or legal advice.

Changes to these terms

These terms may be updated as the product, laws, or organizational requirements change.

We may update these terms from time to time. When we do, we will publish the revised version with a new effective date. Material updates may also be announced in-product or through another reasonable notice channel.

If you continue using HRIS Central after updated terms take effect, that continued use means you accept the revised terms.

If your organization needs a different legal workflow, you should coordinate with your administrator before enabling self-service registration in production.

Review before production launch

This document is strong product copy for launch, onboarding, and internal review, but it should still be reviewed by your legal counsel before you rely on it as a final legal agreement.
